I Know Who I Want to Hire… What’s Next?

Once you’ve found the perfect freelancer or agency for your project and agreed on budget and timing, set the contract terms and make an offer. When all parties agree, you’re ready to start work.

Looking to rehire a freelancer or agency you’ve already worked with? It’s easy: Go to My Jobs and select “Rehire Freelancer” to send a new offer.

1. SEND A MESSAGE TO THE FREELANCER OR AGENCY YOU WANT TO WORK WITH

Every new contract should start with a conversation, whether it’s the first time you’ve worked with the freelancer or not. It’s the best way to ensure you’re on the same page. It’s also your opportunity to negotiate terms for the contract.

To send a message and start the conversation,

  • Go to Jobs > My Jobs
  • Click “Open Jobs” for the post you wish to hire on
  • Find the freelancer or agency and click “Send Message”
  • Communicate over Upwork Messages, or use video or voice messaging

Together, you’ll negotiate the terms of the contract such as start date, deliverables, deadlines, rate/price, and other details.

Note: It’s often easiest to start with a fixed-price project that has a clear deliverable. This allows you to easily break it into milestones and assign payments to each.

2. SET CONTRACT TERMS AND SEND AN OFFER

Once you’ve discussed and agreed on terms, it’s time to make an offer.

Offers generally include

  • Whether the project is fixed-price or hourly
  • Rate, for hourly projects
  • Milestones and total cost, for fixed-price projects
  • Start dates, timelines, or deadlines

Remember: You are entering into a contract with your freelancer. Before sending your offer for final approval, check that the project description and rate (or the total project amount and milestones) are complete and as agreed.

After the offer is sent to the freelancer or agency, they will either

  • Accept the offer, and you will have a contract
  • Decline your offer and withdraw their proposal
  • Message you to discuss alternative terms

The freelancer has 7 days to accept your offer. If they take no action, the offer will be revoked. If you’re an Upwork Business or Enterprise customer, the freelancer has 30 days to accept before the offer is revoked.

3. HIRE

Once the freelancer or agency accepts the terms of the contract, it’s time to hire! Entering into the contract is simple:

  • Go to My Jobs page
  • Open the posting for this project
  • Locate the freelancer you’d like to engage
  • Click the ‘Hire Freelancer’ button and send the contract offer
  • Once the freelancer accepts the offer, you’re all set!

How can you keep up with contracts once you’ve engaged freelancers or agencies? The Contract Room is a page with everything you need to collaborate on contracts with your freelancers all in one place. It’s accessible through your Contracts pages by clicking the name of a contract.

In the Contract Room, you can

  • Search and send messages and files, or start a video/audio chat
  • Access the original job post and proposals
  • Make payments and review your billing history and invoices
  • Review, approve and create new milestones (for a fixed-price contract)
  • Check your freelancer’s invoices, including Work Diary and time logs (for hourly contracts)
  • Raise rates, adjust weekly limits, allow/disallow manual time, and manage activity codes (for hourly contracts)

That’s it! Your freelancer or agency is ready to begin work.
